Welcome to Exact Replacement Part. These Terms of Service govern your use of exactreplacementpart.com and purchases made through our store. In these terms, “we,” “us,” and “our” refer to Exact Replacement Part, and “you” refers to the customer or website user. By using our website or placing an order, you agree to these terms and the policies linked below.

1. Website Use and Customer Accounts

You must be legally able to enter into a purchase agreement in your jurisdiction. Provide accurate, current billing, shipping, and contact information, and keep your account credentials confidential. Contact us promptly if you suspect unauthorized use. You may not use our website for unlawful activity, fraudulent orders, malicious software, unauthorized access, or interference with its operation.

2. Product Information and Part Compatibility

Review the product description, part number, specifications, and compatibility information before ordering. A similar appearance or matching appliance brand does not establish compatibility. If you are unsure, contact us before purchasing and provide the complete appliance model number, serial number, and a clear photo of its identification label when possible.

Cross-reference numbers and brand names help identify intended applications. They do not, by themselves, mean a part was manufactured by or is endorsed by the appliance manufacturer. Refer to each listing for the product’s brand and whether it is OEM or an aftermarket replacement. Manufacturer packaging, appearance, and superseded part numbers may change; we will not substitute a materially different product without your agreement.

We aim to provide accurate product information, but errors can occur. If a material error affects your order, we will contact you to confirm the corrected information or offer cancellation and a refund for any unfulfilled affected item.

3. Orders, Prices, and Payment

Prices are displayed in U.S. dollars unless stated otherwise. Applicable taxes and shipping charges are shown at checkout. Promotions and quantity discounts are subject to the conditions displayed with the offer. Price changes apply to future orders and do not retroactively change an accepted order.

An order confirmation acknowledges receipt of your order; it does not guarantee stock availability. Orders remain subject to payment authorization, availability, and verification. We may decline or cancel an order for suspected fraud, payment failure, unavailable stock, or a material listing error. We will notify you and refund amounts paid for items we cannot fulfill. Additional charges or material changes require your agreement.

If you need to change or cancel an order, contact us promptly. We cannot guarantee a change once processing or shipment has begun. Shipped orders are handled under our Return and Refund Policy.

4. Shipping and Fulfillment

Our Shipping Policy explains shipping charges, processing estimates, and manufacturer dropship options. Standard shipping is $12.45, with free standard shipping on orders over $500. Qualifying orders of at least $100 may request direct-from-manufacturer shipping for $25, subject to manufacturer availability. This separate upgrade is not included in free standard shipping.

Most in-stock orders ship the same or next business day; out-of-stock items generally ship within 3–4 business days, subject to availability. Processing estimates are not delivery guarantees. Manufacturer dropshipping may speed fulfillment but does not guarantee overnight delivery. We will communicate material availability changes and any options required by applicable law.

Check your shipping address before placing an order. Contact us promptly about damage, missing items, incorrect shipments, or delivery concerns, and retain packaging and photos to help us investigate. Carrier tracking does not remove any rights you have under applicable law.

5. Returns, RMA Approval, and Refunds

Our Return and Refund Policy governs returns. Return requests are accepted within 365 days of delivery, subject to authorization, inspection, and the policy’s conditions. Written Return Merchandise Authorization (RMA) approval is required before shipping any return. Submitting a form does not authorize a return.

A 20% restocking fee applies to approved returns unless an applicable exception applies. Original shipping charges are nonrefundable, and customers pay return shipping, except when the return results from our error. If we shipped the wrong item or made another mistake requiring a return, we will cover return shipping and waive the restocking fee. Original shipping charges associated with our error will be refunded as applicable.

Defective items will be shipped back to the manufacturer for evaluation. A refund will be issued upon the manufacturer’s approval. Evaluation times vary. RMA approval or receipt of an item does not itself establish a defect or guarantee a refund. This process does not restrict remedies or deadlines required by law.

Returns sent without prior RMA approval may not be refunded and may be returned to the buyer at the buyer’s expense, subject to applicable law. Follow the approved return address and instructions. Approved refunds are issued to the original payment method; posting times depend on your payment provider.

6. Installation, Safety, and Warranties

Appliance repairs can involve electricity, gas, water, heat, and moving components. Use a qualified professional when appropriate or legally required. Follow the appliance manufacturer’s instructions, disconnect power and other utilities as instructed, and never bypass safety devices. Website information and compatibility assistance do not replace professional diagnosis or installation instructions.

Any express product warranty is the warranty stated in the applicable listing or accompanying manufacturer documentation. Our 365-day return-request window is not a separate promise of a 365-day product warranty. Nothing in these terms excludes warranties or consumer protections that cannot lawfully be excluded.

7. Intellectual Property and Third-Party Services

Our original website content, graphics, and branding are protected by applicable intellectual-property laws. You may use product information for legitimate shopping and order-related purposes. Other use requires permission from the relevant rights holder. Third-party trademarks belong to their respective owners.

Our store is hosted on Shopify, and payment, tracking, or other features may involve third-party providers. Their services may be subject to their own terms and privacy notices. We remain responsible for our obligations to you as the seller.

8. Privacy and Communications

Our Privacy Policy explains how personal information is collected, used, and shared. We use the contact information you provide for order confirmations, shipping updates, support, and other transaction-related communications. Marketing communications are subject to applicable consent requirements and unsubscribe options.

9. Liability and Your Legal Rights

To the extent permitted by applicable law, we are not liable for indirect or consequential losses arising from website use or improper installation, misuse, or unauthorized modification of a product. This limitation does not exclude liability for our fraud, willful misconduct, gross negligence, or any other liability that cannot legally be excluded or limited. It does not remove statutory warranty rights or remedies for defective, misdescribed, or undelivered goods.

10. Applicable Law and Disputes

These terms are governed by applicable United States law and the law of the state in which our business is established, without depriving consumers of mandatory protections available where they reside. Please contact us first so we can try to resolve any concern. Nothing here requires binding arbitration or waives any right that cannot lawfully be waived.

11. Updates and Policy Interpretation

We may update these terms by posting a revised version with a new effective date. Updates apply prospectively; they do not retroactively reduce rights relating to an earlier order without your agreement. The terms and policies in effect when an order is placed govern that order, subject to applicable law.

The specific Return and Refund Policy or Shipping Policy controls its respective subject if a summary here differs. Mandatory legal rights take priority over all store policies. If one provision is unenforceable, the remaining provisions continue to apply to the extent permitted by law.
